We're excited to announce a major enhancement to your workspace's user management: User Invites & Deactivation – Behaviour Updates. This release is focused on giving you more control and security, making your administrative workflows smarter, safer, and entirely self-managed.
We're rolling out three key improvements with this update. This ensures splose is the ultimate multitasker's best friend by letting your admin team manage data integrity effortlessly.
1. Smarter Invite Cancellation Preserves Your History
Cancelling a pending invite used to mean deleting a user and their associated data. This created administrative stress, especially during staff changes or workspace imports. Not anymore!
Now, when you cancel an invite, the practitioner is simply moved to the Inactive list instead of being deleted. This means that all linked appointments, clinical notes, and billing records are perfectly preserved, ensuring historical data remains intact for reporting and future reference, which is critical during staff changes or workspace imports. Admins can now safely clean up their user lists without worrying about data loss.
2. A New Safeguard for Your Schedule
Accidentally losing upcoming appointments when cancelling a pending invite is a significant administrative risk we have now eliminated.
If a practitioner has future bookings, cancelling their invite automatically triggers a modal prompt. This essential safeguard allows you to choose to either Archive those future appointments (removing them from the calendar) or Reassign them to another practitioner before proceeding. This step prevents accidental session loss, maintains client visibility, and significantly reduces support requests related to vanished bookings. This prompt is triggered automatically upon cancelling a pending invite user with upcoming appointments.
3. Secure Re-invitation and Enhanced Access Control
We've made reactivating a user a simple, yet highly secure process.
Reactivating any user from the Inactive list now initiates a secure Re-invite flow. This means all users in the Inactive list are treated as Invited until they complete a new verification process, which requires them to confirm their identity and set a new password. Old sessions and credentials are completely invalidated, which strengthens workspace security by ensuring access is granted only through a new, verified link.
